Job Description

We are seeking a highly organized, tech-savvy Trade Show Admin to support both event operations and day-to-day sales administration. This role focuses on preparing and coordinating trade shows (not selling at them), managing CRM systems, assisting sales reps, and serving as the first point of contact for inbound calls. The ideal candidate is detail-oriented, comfortable navigating multiple platforms, and able to communicate clearly and professionally across teams, vendors, prospects, and customers.

Key Responsibilities & Requirements:

  • Support event-related marketing activities, including pre-show campaigns, digital promotions, social media updates, and post-show follow-up.
  • Utilize Salesforce (CRM) and other software tools to manage leads, pull reports, maintain data accuracy, and enhance lead generation initiatives.
  • Serve as the first point of contact for inbound phone calls; professionally triage, direct, and document calls to the appropriate internal teams.
  • Prepare customer quotes, proposals, and order-related documentation with accuracy and timeliness.
  • Provide administrative support to sales representatives, including data entry, lead routing, scheduling assistance, follow-up tasks, and preparation of sales materials.
  • Manage and navigate multiple platforms, digital tools, and social media channels used for marketing, communication, reporting, and event coordination.
  • Maintain clear, concise, and professional written and verbal communication in all interactions, including internal updates, vendor correspondence, event instructions, and customer communication.
  • Must have prior trade show or events experience focused on preparation, logistics, and marketing-not selling at trade shows.
  • Must have strong CRM/Salesforce experience, with the ability to manage data, pull reports, and work across integrated systems.
  • Must be tech-savvy and adaptable to learning new platforms and tools quickly.
  • Must be able to support both marketing and sales teams simultaneously with strong organization, prioritization, and follow-through.
